Terms and Conditions

Acceptance of the terms and conditions specified below will form a binding agreement between you and Tiny Swimming Ltd for the duration of the contract.

Booking and Payment
Bookings can be made through the registration page of the SwimSoft Parent Hub, a link to which will be emailed to new clients. Links can also be found on the Tiny Swimming Ltd webpage. All relevant information about parent/guardian and child must be entered accurately.

A place on the course is ONLY fully confirmed once full payment has been received. All payments must be made by Direct Debit using the secure GoCardless system. A link to GoCardless will be sent to you before your child starts their first course.

If payment is not received by the course start date your child’s place will not be guaranteed. Payment must be made for the duration of the course before the course starts. 

Payment for the next term will be taken on the final day of the current term via GoCardless direct debit.

Any changes in your bank account details must be made by you in GoCardless prior to payment collection. Tiny Swimming Ltd will send you a new link to GoCardless on request. If a payment fails through the GoCardless system for any reason, an administration fee will be applied of £1.50 and the full terms fees will become payable by BACS before the start date of the new term – details will be provided for BACS transfers. If the BACS payment is not received, Tiny Swimming Ltd reserve the right to cancel the full terms lessons.

Once registered, you may log into your account on the Parent Hub at any time to check your details. Please inform us of any changes in your contact details as soon as possible. This information is used for re-enrolment, posting awards, and to contact you if lessons are cancelled for any reason.

Following the completion of each course, your child will automatically be re-enrolled on to the next course unless you advise us that you do not wish to continue – please see our Cancellation Policy. 

Late Payments and Uncollected Direct Debits
If collection of your payment by Direct Debit through the GoCardless system fails, we will send an email with our BACS details and an updated invoice including the payment failure administration fee of £1.50 which must be paid immediately. If after this, payment still cannot be made, Tiny Swimming Ltd reserves the right to cancel any future swimming lessons. You will however remain liable for any swimming lessons that have been taken without payment. If you are experiencing any short-term difficulty in making your payments, please contact us and we will do best to support you and do our upmost to agree upon a solution.

Cancellations and Refunds
Cancellation by the Client:
By enrolling with Tiny Swimming Ltd, you agree to automatic re-enrolment on the next course unless you give notice of cancellation. 

The notice period is at least 4 teaching weeks prior to the end of the swimming course (not including half term / Easter / Christmas or summer holiday). This is to allow time for your vacant place to be filled by another child. 

If cancellation notice is received within less than 4 teaching weeks notice prior to the end of the current swimming course, you will be invoiced for the next course of lessons through our re-enrolment process, whether they are attended or not. 

If you wish to receive a refund of the next term’s payment if you have not provided 4 teaching weeks notice and within the 4 weeks notice period, after we have collected payment, there will be a £50.00 administration fee charged through GoCardless for the refund to be made or if the GoCardless mandate has been cancelled it will be taken from your refund. 

No refund will be made for lessons missed during a course for whatever reason, including sickness. 

Alternative Lessons (Make Up Lessons) - a total of 2 (two) Make Up Lessons will be offered per main term subject to availability for any lessons missed. Tiny Swimming will endeavour to provide a reasonable selection of lessons to choose from, however, if the lessons offered cannot be taken there will not be any refunds or further alternative lessons provided.

Credit for future lessons may be added to your account if lessons are missed due to unforeseen circumstances (i.e: family emergency, adverse weather, etc). This will be at our discretion. 

Credits on your account will expire from 1 (one) year from application date, and thereafter will not be refunded, or a cash equivalent offered. They may be used towards a sibling booking for a full term's lessons booking if used within the 1 (one) year.

If you cancel your GoCardless direct debit mandate without giving notice of cancellation of lessons, we will assume that you no longer want the swimming place for your child and we will offer your place to another parent. 

Cancellation by Tiny Swimming Ltd
Tiny Swimming Ltd will endeavour to deliver all lessons that have been offered to your child. However, unforeseen circumstances may arise from time to time, such as the teacher being ill or pool failure at the premises. If we must cancel a lesson, we will inform you by the following means: 
- by email only for cancellations with 72 hours or more notice.
- by SMS text (followed by email) for cancellations with less than 24 hours notice.

Please ensure that your contact details are up to date and that hello@tinyswimming.co.uk is added to your email contacts to prevent messages going to the junk mail folder. 

If Tiny Swimming Ltd cannot provide an alternative for the cancelled lesson, a credit will be provided, which will reduce the payment required for the next course. 

A refund will only be provided if your child has reached school age and is not able to enrol on the next course, or you have already given notice of cancellation. 

Conduct and Concerns
All parents and guardians are expected to act in a kind and courteous way to staff at Tiny Swimming Ltd, hotel staff and other swimming clients. We hope never to evoke this clause but obviously, unacceptable behaviour may result in cancellation of your swimming lessons without refund. 

If you have any concerns about the delivery of your lessons or about teachers at Tiny Swimming Ltd, you must put your concerns to us in writing. We will do our best to address your concerns in a polite, friendly, and confidential manner. 

Please also let us know about any concerns you may have about the swimming venue. We are always open to feedback and will pass these on to the relevant hotel manager who will hopefully resolve any issues. 

Confidentiality and Privacy
Tiny Swimming Ltd keeps all your personal data on the SwimSoft software system provided by Morleisure, and your payment details are kept only on GoCardless. SwimSoft and GoCardless are recognised ‘mainstream’ service providers protected by up-to-date security systems. However, Tiny Swimming Ltd is not responsible for any security breaches caused by malicious hacking of SwimSoft or GoCardless. 

Tiny Swimming Ltd will not divulge your personal information or email address to any third party without your explicit consent. 

Tiny Swimming Ltd expects all its clients to respect the privacy of its staff and other clients. Personal information about staff and other clients gained during swimming lessons must not be passed on to any third party without their explicit consent.
